ΓòÉΓòÉΓòÉ 1. Help for File Transfer ΓòÉΓòÉΓòÉ
Use File Transfer to create and send File Transfer items (a message and
optionally accompanying files) to other people.
File Transfer is useful for sending messages or data when a two-way dialogue is
not required. For example, you could use File Transfer to send a file
containing a draft document with a message asking for comments and suggesting a
later P2P call when these could be discussed.
If you and the recipients have Call Manager active, you can use File Transfer
even when they are away from their workstations or busy with other calls. You
do not need to make a P2P call to use File Transfer.
The File Transfer window contains:
o The status area showing:
- The number of File Transfer items received since you last used File
Transfer
- The number of File Transfer items not yet read
o The Incoming File Transfer log:
- A chronological list of File Transfer items received
o The Outgoing File Transfer log:
- A chronological list of File Transfer items sent
o Push buttons:
- To Create a new item and send it
- To Resend a previously sent item
- To Read an incoming item or items
- To Delete an item or items
o An information area that gives concise help about menu choices that you have
highlighted for selection
From the Menu bar you can use:

To Resend, Read, Delete, Save, or Print selected items in the Incoming or
Outgoing File Transfer logs
Options
To specify your preferences for the way that File Transfer operates
To get help for a menu choice, highlight the choice and press F1.
ΓòÉΓòÉΓòÉ 2. Help for Keys ΓòÉΓòÉΓòÉ
There are no specific key assignments for the File Transfer utility.
The Incoming and Outgoing File Transfer logs use the P2P selection list key
assignments.

The status area gives a brief summary of the status of file transfer activity.
It shows:
o The number of items received since the last time you used File Transfer
o The number of items that you haven't yet read

The information area gives a brief description of the highlighted menu choice.
To get help for a menu choice, highlight the choice and press F1.
ΓòÉΓòÉΓòÉ 5. Help for Create button ΓòÉΓòÉΓòÉ
Use the Create push button to create and send a new File Transfer item.
Selecting Create displays the File Transfer Send window, where you specify
information about the File Transfer item that you want to create and send.
ΓòÉΓòÉΓòÉ 6. Help for Resend button ΓòÉΓòÉΓòÉ
Use the Resend push button to resend the selected File Transfer item or items
from the Outgoing File Transfer log to the original recipients.
Use Resend to resend items either that the recipient has failed to receive, for
example due to a communication problem, or that they have received but deleted
by mistake.
The button is grayed if no outgoing item is selected, or if the item was sent
to call participants during a call. Items can be resent only if they were
originally sent outside a call. In addition, if you select multiple items
including at least one that was originally sent to participants in an active
call, the resend button is unavailable.
ΓòÉΓòÉΓòÉ 7. Help for Read button ΓòÉΓòÉΓòÉ
Use the Read push button to read the selected File Transfer item or items from
the Incoming File Transfer log.
Selecting Read displays the File Transfer Read window where you can read the
message text of the item and, optionally, perform other operations such as
printing and saving information.
The button is grayed if no incoming item is selected.
ΓòÉΓòÉΓòÉ 8. Help for Delete button ΓòÉΓòÉΓòÉ
Use the Delete push button to delete the selected File Transfer item or items
from the Incoming and Outgoing File Transfer logs.
Notes:
o Any files associated with the items are deleted from the File Transfer Store.
For outgoing items, originals of any attached files are not deleted.
o The button is grayed if no item is selected.

ΓòÉΓòÉΓòÉ 9. Help for Incoming log ΓòÉΓòÉΓòÉ
The Incoming File Transfer log is a chronological list of File Transfer items
received.
For each item, you see:
o The sender name
o The date of transmission
o The time of transmission
o The subject
o The status of the item:
- New - new and unread
- Read - already read
Notes:
o You can select items to Read, to Save, or to Delete. Select the required item
in the list, then select Read, Save, or Delete from the Selected menu, or the
Read or Delete push button.
o If you select items in the Incoming log, any items selected in the Outgoing
log are deselected.

The Outgoing File Transfer log is a chronological list of File Transfer items
that you have sent.
For each item, you see:
o The recipient name
o The date of transmission
o The time of transmission
o The subject
o The status of the item:
- Sending - in the process of being sent
- Sent - send was successful
- Failed - send failed
Notes:
o You can select items to Resend or to Delete
o If you select items in the Outgoing log, any items selected in the Incoming
log are deselected.

Use the choices in the File menu to send or print File Transfer items.

Use Create to create and send a new File Transfer item.
Selecting Create displays the File Transfer Send window, where you specify
information about the a File Transfer item that you want to create and send.
ΓòÉΓòÉΓòÉ 13. Help for Printer setup ΓòÉΓòÉΓòÉ
Use Printer setup to select a printer for printing selected File Transfer item
messages and to set the printer options.
Printer setup displays the Printer setup window where you can select a printer
and optionally review or change the printer settings.
Notes:
o If you do not perform printer setup, messages are printed on the default
system printer.
ΓòÉΓòÉΓòÉ 14. Help for Printer setup ΓòÉΓòÉΓòÉ
Use this window to choose a printer from a list of the printers installed on
your system, and optionally set printer-specific options.
1. Select the printer.
2. Optionally, select the Setup push button to change the printer settings.
This displays a printer-specific setup window with Help for the features of
the printer.
3. Select the OK push button to select the printer, or the Cancel push button
to exit without changing the printer setup.
ΓòÉΓòÉΓòÉ 15. Help for Selected ΓòÉΓòÉΓòÉ
Use the choices in the Selected menu to perform operations on the File Transfer
item or items that you have selected in the Incoming or Outgoing File Transfer
logs.
You can use:
Resend
To resend the selected items in the Outgoing File Transfer log
Read
To read the selected items in the Incoming File Transfer log
Delete
To delete the selected items
Save text
To save the message text of the selected items
Save attach
To save some or all of the attached files of the selected items
Print
Print the selected items

Use Resend to resend the selected File Transfer item or items from the Outgoing
File Transfer log to the original recipients.
Use Resend to resend items that either the recipient has failed to receive, for

Use Save text to save the message text of an incoming File Transfer item.
Selecting Save text displays the File Transfer Save Text window which is used
to specify the directory and file name of the file where the message text is to
be saved.

Use Save attach to save the attached files of an incoming File Transfer item.
Selecting Save attach displays the File Transfer Save Attach window which is
used to specify the directory and file name of the file or files where the
attached files are to be saved.

Use Print to print File Transfer item messages on the selected printer. If no
printer has been selected with Printer setup, the system default printer is
used.

Use the choices in the Options menu to select your preferences for the way that
File Transfer operates.
You can use:
File Transfer store
To specify the location and size of the File Transfer store, a directory
where incoming messages are stored.
Delete on read
To select whether or not incoming File Transfer items are deleted from the
File Transfer store when you select Continue in the File Transfer - Read
window.
File Transfer accept
To choose how you will accept incoming File Transfer items.
Send progress
To select whether or not the File Transfer Send Status window is displayed
to indicate the progress of sending an item.
ΓòÉΓòÉΓòÉ 23. Help for File Transfer store ΓòÉΓòÉΓòÉ
Use File Transfer store to specify the location and size of a directory on a
disk where incoming messages are stored.
Selecting File Transfer store displays the File Transfer - File Transfer Store
window where the directory name and maximum size can be specified.
ΓòÉΓòÉΓòÉ 24. Help for Delete on read ΓòÉΓòÉΓòÉ
Use Delete on read to select whether or not incoming File Transfer items are
automatically deleted from the File Transfer store when you select the Continue
push button in the File Transfer - Read window.
This is a useful housekeeping facility to stop the File Transfer store becoming
too full.
ΓòÉΓòÉΓòÉ 25. Help for File Transfer accept ΓòÉΓòÉΓòÉ
Use File Transfer accept to choose how you want to handle incoming File
Transfer items.
You can select one of the following:
Manual
To be given the choice of accepting or rejecting each incoming File Transfer
item
Auto
To automatically accept all incoming File Transfer items.
Bar
To bar all incoming File Transfer items.
ΓòÉΓòÉΓòÉ 26. Help for Manual ΓòÉΓòÉΓòÉ
Use Manual to be given the choice of whether or not you will accept each
incoming File Transfer item as it arrives.
Selecting Manual causes the Acceptance window to be displayed whenever a File
Transfer item arrives. You can then accept or reject the item.
ΓòÉΓòÉΓòÉ 27. Help for Auto ΓòÉΓòÉΓòÉ
Use Auto to accept all incoming items without being informed.
Notes:
o Items are received, provided there is sufficient space in the File Transfer
store.

Use Bar to bar File Transfer items from being received.
Notes:
o Barring File Transfer items and barring calls in the Call Manager are
separate, independent functions. File Transfer does not make a P2P call.

Use Send progress to select whether or not the Send Status window is displayed
to indicate the progress of sending an item.

This window shows you that File Transfer is starting to send a File Transfer
item.
Select:
Close
To close the window and suppress any Send Status (Progress) windows for this
File Transfer item
Stop
To cancel the transfer of this File Transfer item
ΓòÉΓòÉΓòÉ 36. Help for Send Status ΓòÉΓòÉΓòÉ
This window is shown for each file in a File Transfer item, unless progress
reporting has been suppressed by the Close push button in this window or in the
Send Status (Calling) window. A progress indicator bar shows the how much of
the file has been sent.
Select:
Close
To close the window and suppress any further Send Status (Progress) windows
for this File Transfer item
Stop
To cancel the transfer of the whole File Transfer item.
ΓòÉΓòÉΓòÉ 37. Help for Send Status (Complete) ΓòÉΓòÉΓòÉ
File transfer of the Subject File Transfer item is complete.
ΓòÉΓòÉΓòÉ 38. Help for Send Failed ΓòÉΓòÉΓòÉ
File transfer of the File Transfer item was not completed successfully.
Information about which part of the File Transfer item was not sent correctly,
is given.
ΓòÉΓòÉΓòÉ 39. Help for Received ΓòÉΓòÉΓòÉ
Use this window to specify whether or not you want to accept the incoming File
Transfer item.
You are given this choice because you selected the Manual choice in the File
Transfer accept cascaded menu of the Options menu.
Select:
Yes
To accept the File Transfer item
No
To reject the File Transfer item
Notes:
o If you don't want to be prompted before each incoming item is received,
select the Auto choice in the File Transfer accept cascaded menu in the
Options menu.
ΓòÉΓòÉΓòÉ 40. Help for File Transfer Store ΓòÉΓòÉΓòÉ
Use this window to specify the name and the maximum size of a directory that is
used to store incoming File Transfer items.
1. Type a drive and directory name in the File Transfer directory field. The
drive can be on your system or on a LAN-connected drive for which you have
write access. For example:
D:\MYMAIL
2. Type the maximum size in KB (where KB equals 1000 bytes) in the Maximum
file transfer disk size field. The default is 2000KB but you should specify
a larger number if you are expecting to receive File Transfer items
representing a large volume of data before you have the opportunity to read
them.
Notes:
o If the File Transfer directory that you specify does not already exist, a new
directory of the specified name is created.
o A size which is less than that needed to hold the currently stored items is
not accepted.
ΓòÉΓòÉΓòÉ 41. Help for Read ΓòÉΓòÉΓòÉ
Use this window to view the contents of selected File Transfer items. You can
optionally save or print the message text and save attached files.
You can use the push buttons:
Save text
To display the Save Text window to save the text in a file.
Save attach
To display the Save Attach window to save attached files.
Print
To print the message text.
Continue
To read the next selected item (and optionally delete the currently selected
items when they have been read).
Cancel
To stop reading the selected items.
Note:
If you have selected Delete on read in the Options menu, selecting Continue in
this window causes the currently selected items to be deleted when the window
is closed. The selected items are deleted only if you select Continue for every
selected item. If you select Cancel for any of the selected items, none of the
items is deleted.
If Delete on read is not selected, selecting Continue in this window causes the
currently selected items to be left in the incoming file transfer log.
ΓòÉΓòÉΓòÉ 42. Help for File Transfer - Send ΓòÉΓòÉΓòÉ
Use this window to create a new File Transfer item (message and file) and send
it to one or more people.
1. Type a title for the file transfer item in the Title field
2. Select the To push button to display the File Transfer - To window (in
which you can select the people to whom the file is to be sent)
3. Select the Attach push button to display the File Transfer - Attach window
(in which you can select files to send).
4. Select the Compress files check box to compress the files for transmission.
5. Enter a message in the Text area. You can move the cursor and insert and
delete text. Enter creates a new line.
6. Select the Send push button to send the File Transfer item and then select
the Close push button. (To exit without sending the item, select Close
without selecting Send.)
Notes:
o The date and time are set on entry to the window.
ΓòÉΓòÉΓòÉ 43. Help for Save Text ΓòÉΓòÉΓòÉ
Use this window to save the text from the File Transfer item identified in the
title bar.
1. Select the down arrow to the right of the Drive list to display the drives
on your system.
2. Select a drive from the drive list.
3. Select a directory from the Directory list.
4. Select a file name from the File list or type a file name in the Save Text
filename field.
5. Select the Save text push button to save the text, or the Cancel to exit
without saving.
Notes:
o Select the Append check box to append the text to the contents of an existing
file.
o The title, date, time, from name, and attachment list are saved with the
text.
ΓòÉΓòÉΓòÉ 44. Help for File Transfer - To ΓòÉΓòÉΓòÉ
Use this window to select the people to whom you want to send a File Transfer
item.
The status area at the top of the window confirms which people have been
selected.
You can specify that items are sent to:
o Any (or all) of the last ten people called
o Members of current calls
o Members of the chosen address book.
Select the scroll button at the right-hand side of the field below the status
area. A list is displayed containing the names of all your registered address
books (including the Sample address book), and the choices Last people and
Current calls.
To send a file transfer item to members of an address book, select the name of
the address book from the list. A list of the members of that address book is
displayed in the field below, from which you can select the required people.
To send a file transfer item to some (or all) of the last 10 people called,
select Last people from the list. A list is displayed in the field below,
containing the names of the last 10 people called, from which you can select
the required people.
To send a file transfer item to all members of a current call, select Current
calls A list of current calls is displayed in the field below, from which you
can select the required call.
When you have selected the required people (or call), select the To push button
to return to the File Transfer - Send window. (The field to the right of the To
push button in the File Transfer - Send window now contains the list of people
selected in the File Transfer - To window.)
ΓòÉΓòÉΓòÉ 45. Help for Save Attach ΓòÉΓòÉΓòÉ
Use this window to save the attached files from the File Transfer item
identified in the title bar.
The name of the first attached file is displayed. For each attached file:
1. Select the down arrow to the right of the Drive list to display the drives
on your system.
2. Select a drive from the drive list.
3. Select a directory from the Directory list.
4. Select a file name from the File list or type a file name in the Save
attach filename field.
5. Select one of the following:
o Save attach push button to save the file and to process further attached
files
o Continue push button not to save the file but to process further attached
files.
o Cancel to exit without saving any attached files.
ΓòÉΓòÉΓòÉ 46. Help for File Transfer - Attach ΓòÉΓòÉΓòÉ
Use this window to select the files that are to be attached to the File
Transfer item that you are sending.
For each item that you send:
1. Select the down arrow to the right of the Drive list to display the drives
on your system.
2. Select a drive from the drive list.
3. Select a directory from the Directory list.
4. Select one or more file names from the File list or type a file name into
the Attach filename field.
5. Then select the Attach push button to attach the files to the File Transfer
item, or select the Cancel push button to exit without attaching files.

To select an item:
1. Move the mouse cursor to the item.
2. Click mouse button 1.
